Spanish Document Legalization Dubai – Complete UAE & Spain Process

Legalization is necessary for your Spanish documents to be legally valid for official use in the UAE. The process involves several steps across Spain and the UAE.

Important note: Spain is a long-standing member of the Hague Apostille Convention (since 1978). The UAE is not a member and does not accept an Apostille in place of full legalization.

For Spanish Documents to be Used in the UAE

  • Identify the type of document: The type of document determines the legalization process. Public records (birth, marriage, death, educational, judicial, commercial, notarial, medical, etc.) must undergo the full legalization process. In contrast, private documents must first be notarized in Spain before commencing the legalization process.
  • Document Authentication in Spain (depending on the issuing authority): The first authentication is always by the competent authority for the document type. For example, judicial documents will be sent to the High Court of Justice of the relevant region. Notarial documents are sent to the Association of Notaries.
  • Ministry of Foreign Affairs, European Union and Cooperation (MAEUEC – Madrid): After the relevant body certifies the document, you must take it to the Legalization Service of the Spanish Ministry of Foreign Affairs for authentication.
  • UAE Embassy in Spain: Once authenticated by the Spanish MFA, the document must be legalized at the UAE Embassy in Madrid. The Embassy verifies the Spanish MFA’s stamp and signature. Consular fees are charged for this step.
  • Ministry of Foreign Affairs (MOFA) – United Arab Emirates: When the document arrives in the UAE, it must undergo final attestation by the UAE Ministry of Foreign Affairs (MOFA) to be valid for official use (employment, visa, business setup, court matters, etc.).
  • Translation (if required): If the Spanish document is not in Arabic, a legal Arabic translation by an MOJ-approved translator in the UAE may be necessary after MOFA attestation. This step often depends on the authority requesting the document.

For UAE Documents to be Used in Spain

  • Document Preparation in the UAE: Ensure the document is an official UAE public document (birth, marriage, academic, commercial, notarial, medical, etc.).
  • Notarization in the UAE (if applicable): If the document is private (e.g., contracts, powers of attorney, company documents), it must be notarized by a UAE Notary Public.
  • UAE Ministry of Justice (if required) Authorization: Some notarised or court-related documents must be stamped by the UAE Ministry of Justice before going to the Ministry of Foreign Affairs (MOFA).
  • Attestation by the UAE Ministry of Foreign Affairs (MOFA): The document must be attested by MOFA in the UAE. MOFA confirms the authenticity of the UAE signatures and stamps.
  • Embassy of Spain in the UAE: After MOFA attestation, the document must be legalized by the Embassy of Spain in Abu Dhabi or the Consulate General of Spain in Dubai. This step authenticates the UAE attestation for recognition in Spain.
  • Spanish Ministry of Foreign Affairs (MAEUEC – Madrid): Once in Spain, the document must be submitted to the Legalization Service of the Ministry of Foreign Affairs, European Union and Cooperation (MAEUEC) for the final Spanish authentication.
  • Translation (if required): If the UAE document is in Arabic, a sworn translation into Spanish is usually needed. The translation can be done by a sworn translator (traductor jurado) accredited by MAEUEC in Spain, or verified through the Spanish Consular Office.

Note: If the authority in Spain only requires the content (e.g., for university admission, job applications, or private contracts), sometimes they will accept a sworn translation of the UAE-attested document before the Spanish MFA. However, for most official/judicial/administrative procedures, the translation must be of the final, fully legalized version.

About the Spanish Language

Spanish is one of the most widely spoken languages in the world, with over 500 million native speakers across Spain, Latin America, the United States, and large diaspora communities in Europe, Africa, and the Middle East. It is the official language of Spain and 20 Latin American countries, and is also widely used in international business, law, and education.

Due to its role in government and legal contexts, Spanish documents, such as birth certificates, marriage certificates, academic diplomas, and company records, often require accurate translation and legalization for use outside of Spain.

For example, Castilian Spanish (spoken in central and northern Spain) uses “coche” for “car,” whereas Latin American Spanish often uses “carro” or “auto.”

Similarly, in Spain, one might say “ordenador” for “computer,” while in Mexico “, computadora” is standard.

These cultural and regional differences create challenges for Spanish document translation and legalization. Common issues include:

  • Variations in regional vocabulary and phrasing (e.g., “coche” vs. “carro”).
  • Literal translation of legal or administrative terms instead of jurisdiction-specific equivalents.
  • Formatting or terminology errors that result in document rejection.
  • Using non-certified translators whose work is not accepted by consular or legal authorities.

Working with an experienced, certified Spanish translation and legalization service in Dubai ensures that your documents are translated with cultural accuracy, are legally compliant, and are fully recognised by both the UAE and Spanish authorities.
